Invoice Builder operates this website. The site is aimed at small businesses in South Africa. Personal information you enter is handled for that service. South Africa’s Protection of Personal Information Act (POPIA) applies to personal information processed here. This page says what this product actually stores. It is not a generic policy for other businesses.
The site does not publish a company registration number or street address. To ask a privacy question, email noreply@invoicebuilder.co.za.
Account
When you create an account, Invoice Builder stores the name you enter, your email address, a username taken from that email, and your password. WordPress stores the password as a hash, not as the password you typed. Your account is given the Invoice Builder member role.
Before you can use the app, you must verify your email. We email you a confirmation link from noreply@invoicebuilder.co.za. Opening that link shows a confirm button and does not use the link up. We keep a hashed copy of the link until you press Confirm email address. After you confirm, the hash is removed and the account is marked verified.
If Google sign-in is turned on and you choose it, Google sends Invoice Builder the email address, name, and Google account id for that Google account. We store the Google account id on your user so you can sign in again. Google sign-in marks the email as verified. You do not have to use Google. Email and password sign-in works on its own.
Business profile
Your business profile is saved on your account and printed on the invoices and quotations you create. It includes:
- Company name, phone, and email. These are required before the app will let you create documents.
- Company address, if you add one. It is optional.
- A logo image, if you upload one. The file is stored for your documents.
- Currency symbol, VAT percentage, and whether VAT is switched on by default.
- Default payment terms in days, default terms text, accent colour, and invoice template.
Clients
If you save a client, or if a document you save includes a client, Invoice Builder stores the client name, company name, email, phone, and address on your account. That is so you can reuse the details on the next invoice or quotation. You can delete a saved client from the Clients screen in the app.
Invoices and quotations
Each invoice and quotation is stored on the website with your account. A document can include its number, issue date, due date, status, client details, line items, discount, whether VAT is on and the VAT rate, totals, notes, the terms printed on that document, and the template.
A PDF is generated from that saved document when you print, download, or email it. When you email a document, the message and PDF go through the site’s mail delivery to the address you type. The PDF contains the business and client details on that document. The reply-to address is the company email or account email you choose, so your client can reply to you. We also store a short send log on the document: the date, recipient, subject, and whether the email was sent with the PDF.
What we do not do
Invoice Builder does not sell personal information. We do not use the clients you save to advertise to them. Client and document details are there so you can prepare, print, and email your own invoices and quotations.
Invoice Builder does not add analytics, advertising, or tracking cookies. Browsing the public pages does not require an account. When you sign in, WordPress stores login cookies in your browser so you stay signed in. If you tick Remember me, those cookies last longer. Signing in with Google also keeps you signed in. There is no separate analytics cookie from this plugin.
Access and deletion
You can change your business profile in the app, and you can delete saved clients there. There is no button in the app that deletes the whole account.
Email noreply@invoicebuilder.co.za to ask for a copy of the account, business profile, clients, logos, and documents stored for you, or to ask us to delete them. We may need you to confirm that you control the email address on the account before we change or delete it. Mail already sent to a client cannot be pulled back from that client’s inbox.
